Data & Security

How is my data protected?

Your data lives in its own isolated workspace — it’s never mixed with any other customer’s information. Your card and bank numbers are never stored by us; those are held by Stripe, our PCI-compliant payment processor, inside Stripe’s secure vault. We only ever see secure tokens and, at most, the last four digits for display.

Do you ever see my banking login or card numbers?

No. When you link a bank account or card, the connection runs through Stripe’s secure system. We receive read-only transaction data to keep your books — never your banking login, and never your full account or card numbers.

What are you using for cybersecurity?

All traffic runs through Cloudflare, which encrypts everything in transit and blocks malicious traffic before it reaches our servers. Inside the database, every query is scoped to your workspace by the database itself — row-level security, not just app code — so nothing outside your tenant can reach your data. Card numbers never touch our systems at all; they go straight to Stripe’s PCI-compliant vault.

Where is my data stored?

On managed Postgres infrastructure hosted in the US (AWS, US-East region). It doesn’t leave that environment except to reach the specific services that run your business — your payment processor, your bank connection, and the AI models behind Clara.

Is my data ever used to train AI models?

No. Clara runs on Anthropic’s commercial API terms, under which customer inputs and outputs are never used to train their models — by default, with no opt-in required. Your conversations with Clara stay yours.

Money & Control

Does Clara hook to my merchant services and bank accounts — what’s the exposure?

Yes, to reconcile your books automatically. The connection is read-only by design: the key we’re given can view transactions and payouts, not move money, issue refunds, or see your login. Full account and card numbers are never stored, only a masked last four. And moving money inside the product is restricted to your Accounting desk or you — reading the money screen and moving money are two different permissions.

Can Clara move money for me?

Clara can prepare payments, reimbursements, and transfers — but nothing posts until a person approves it. Every money-moving action goes through an approval chain first; separation of duties and locked, tamper-proof reports mean money only moves the way it’s supposed to.

What if Clara moves money I didn’t tell her to?

She won’t move money without sign-off — that’s built into the approval chain, not something you have to remember to turn on. Every transaction is tied to who approved it and when, and every figure in your books opens to the entries behind it, so nothing moves without a traceable record you can check.

Who can see the money side of my account?

You control that. Roles and permissions decide who on your team can view or move money — a login doesn’t automatically come with access to the ledger.

Your Team & Setup

Can Clara send email for me?

Yes. Drafting and sending are both live, and every outbound email is automatically held for a Communications, Compliance, and Legal review before it can go out — nothing ships unreviewed. Reading and sorting your incoming mail is planned but not live yet.

Do I have to use the name Everett?

No. Everett is the default, but your receptionist’s name and voice are yours to set in the console — rename them to whatever fits your business.

Your Data

How do I retrieve my data?

Getting your data out isn’t a separate request — it’s built into how cancellation already works. While your account is active, everything you’ve given Clara and everything she’s produced is right there in your workspace, always exportable. Cancel a paid plan and you get a 30-day window after cancellation to export everything before it’s permanently deleted. Ending a trial is different — trial data is deleted immediately, since a trial is for evaluation, not storage.

Company & Continuity

What happens to my data if the company is ever sold?

The Unbound Office’s value isn’t only the software — it’s the tenants who trust it with their business. That’s exactly as true for a buyer: they’d be acquiring that trust and that customer base, not just code, which makes keeping tenants whole one of the most valuable things to protect, not something an acquirer would want to disrupt. Under our User Licensing Agreement, this business may be assigned to a successor or affiliate, and any successor inherits the same agreement — the same obligations and the same commitments to your data that are already in place.

Can Everett really book appointments while I’m out?

Yes. He answers calls day or night, books the appointment straight onto your calendar, and creates it in your CRM automatically — the same whether it came from a phone call or from your website’s own booking form.

Can Clara write and review contracts?

Yes — Legal & Contracts drafts them, and a separate desk red-teams what it wrote before it goes out.

Can Clara prepare my taxes?

Yes. Tax Preparation builds CPA-ready federal and state returns, and a separate Tax Audit desk stress-tests every return before it’s filed.

Can Clara reconcile my bank and card transactions automatically?
